We’re looking to add a Strategy Director, Speaker Bureau to our team. The Strategy Director for the speaker bureau is responsible for identifying, developing and growing opportunities for the Company.  This role will be a trusted partner to the client, demonstrating a high degree of understanding of the brand and organizational strategic imperatives for successful speaker bureau execution.    

What You’ll Do 

The Strategy Director, Speaker Bureau will be accountable to the EVP, Strategy and the Managing Director, Speaker Bureau. In addition, this role will:     

  • Conduct annual market research to identify trends, insights and competitive intelligence   
  • Recommend changes to processes, execution, technology, based on experiences validated by data   
  • Review data summaries provided by the HWP data team across accounts to analyze the speaker bureau ecosystem, identify trends and make recommendations accordingly 
  • Support effective and relevant QBR presentations to demonstrate value to clients  
  • Support PD/client discussions ensuring strategy is pulled through, including training of PDs to have a strategic mindset  
  • Review annual business needs forms to ensure alignment with strategic imperatives  
  •  Support the expansion of Speaker Bureau by developing and participating in pitch presentations to potential clients 
  • Collaborate with HWP Medical Marketing to align Speaker Bureau initiatives with client strategic plans and support brand planning 
  • Represent the Speaker Bureau in client pitches, capability presentations, and at trade shows and conventions, providing thought leadership and promoting HWP’s expertise 
  • Lead the discovery process for new accounts, ensuring a smooth transition to the assigned Speaker Bureau account team 
  • Leverage business acumen and client relationship skills to identify opportunities for expanding service offerings and developing new revenue streams 
  • Provide insight and recommendations to the PDs on the budget development process for new programs, ensuring financial alignment with client needs and company profitability goals 

What You’ll Have 

  •  Robust understanding of the Speaker Bureau landscape, with 10+ years of Speaker Bureau meeting planning/project management experience within a medical communications or medical advertising agency 
  • In-depth knowledge of databases, portals and program management processes specific to Speaker Bureau and HWP operations 
  • Proficiency in Microsoft Office Suite and familiarity with project management tools, especially Adobe Workfront 
  • Excellent oral and written communication, time management and organizational skills  
  • Strong interpersonal skills with proven ability to lead and participate effectively in meetings and communicate action items clearly 
  •  Ability to develop and implement strategic plans in alignment with client objectives and HWP’s Speaker Bureau goals 
  • High level of financial awareness, understanding of budgeting and forecasting, and the ability to identify and drive business growth opportunities

               What You Need to Know 

              We’re looking to add a Program Coordinator to our Speaker Bureau Program Mangement team. The Program Coordinator will be detail-oriented, a master organizer, and a clear communicator. They will be responsible for executing administrative and speaker bureau specific tasks, tracking program information and logistics, and continually communicating status to stakeholders. Additionally, the Program Coordinator will have a willingness to help others as hands-on support to the Program Management team for execution of speaker bureau projects will be necessary. 

              What You’ll Do 

              • Maintain speaker records, ensuring records are complete and up to date, and tracking and making updates as needed  
              • Work in conjunction with Program Manager on speaker engagement, speaker contracting, product theaters, speaker training, and virtual series projects  
              • Participate in client status meetings, including coordinating and scheduling internal and external status reports and meetings, and sending status and contact reports internally and externally 

              What You’ll Have 

              • 1-3 years’ program management experience 
              • Speaker bureau experience is a plus  
              • Ability to organize multiple tasks and work on several programs simultaneously   
              • Proficiency in Microsoft® Access, Excel, Word, and Outlook  
              • Excellent telephone manner

                We are looking to add a Program Manager to the Speaker Bureau Program Management team. The Program Manager will be responsible for the complete and accurate execution of speaker bureau–specific requirements including speaker training, speaker contracting, and product theaters.  

                What You’ll Do 

                • Demonstrate a thorough understanding of program needs and ensure their timely and accurate execution  
                • Build strong client relationships through effective communication  
                • Oversee speaker management 
                • Draft program components and shepherd them through the development process, including submission for medical, legal, and regulatory review  
                • Support the Program Director as needed 
                • Delegate tasks to the Program Coordinator in a clear and concise manner, providing training as needed  

                 What You’ll Have 

                • 3-5 years of program management experience. Speaker bureau experience required

                • Exceptional attention to detail 
                • Previous experience in medical communications or at a medical advertising agency is a plus

                  We are looking to add a Director, Meeting Planning & Speaker Bureau Services to our Speaker Bureau team. The Director, Meeting Planning & Speaker Bureau Services will be responsible for oversight and direction of services related to pharmaceutical company sponsored in-person and virtual speaker bureau programs. They will serve as the main point of contact for clients regarding logistical services for the entire lifecycle of their speaker bureau programs.   

                   What You’ll Do 

                  The Director, Meeting Planning & Speaker Bureau Services will be accountable to the SVP Meeting Planning & Speaker Bureau Services; Managing Director Speaker Bureau; external stakeholders and internal team and responsible for the successful execution of events within budgetary constraints while maintaining strong communication with both internal and external stakeholders. In addition, they will: 

                  • Ensure adherence to budgetary guidelines for all events and programs and accuracy and timeliness of financial reconciliation for all meetings 
                  • Analyze the financial impact of tardiness on budgets and personnel, providing timely communication with relevant information 
                  • Oversee all meeting planning activities for assigned clients with field representatives and ensure flawless execution of events, satisfying all required SLA’s 
                  • Provide updates on client status reports and participate in status calls with clients 
                  • Serve as the point of contact for clients regarding logistical services throughout the speaker bureau program lifecycle
                  • Address and resolve project-related challenges

                    What You Need to Know 

                    We’re looking to add a Senior Meeting Planner to our Speaker Bureau Services team. The Senior Meeting Planner will be responsible for managing and executing all arrangements for assigned virtual and in-person speaker programs in accordance with client and HWP requirements.  

                    What You’ll Do 

                    • Serve as liaison with the client sales representative, speakers, and vendors 
                    • Research and recommend compliant meeting venues for in-person events 
                    • Contact and secure the identified speaker 
                    • Coordinate all meeting logistics, including venue, audiovisual equipment, speaker travel, lodging, and ground transportation 
                    • Generate and distribute all program materials, including invitations and confirmations 
                    • Maintain comprehensive program notes and executing all required data entry 
                    • Reconcile actual costs to estimated and providing all backup documentation 
                    • Have a full understanding of service level agreements (SLAs) and complying to requirements 

                    What You’ll Have 

                    • 3-5 years of meeting planning experience

                      We are looking to add a Program Director to our Speaker Bureau Services Program Management team. The Program Director will orchestrate, manage and maintain workflow efficiently in a fast-paced environment ensuring each step in the process and information flows to everyone who is part of the project team. With a thorough understanding of speaker bureau programs, they will translate requirements of statement of work and budget into an action plan for execution.  

                      What You’ll Do 

                      • Plan programs from start to finish, including identifying processes, deadlines and milestones 
                      • Serve as the main point of client contact – serving as liaison between HWP and the client (marketing/medical teams)  
                      • Manage day-to-day client requests including proper dissemination to appropriate team members and timely acknowledgement and response

                      • Manage the portal and database builds alongside the Development Team, ensuring all current speakers, slides, components are up to date on the portal 
                      • Supervise program resources, ensuring excellence in performance 
                      • Provide clear direction to the team 
                      • Develop and manage detailed timelines with understanding of meeting planning execution aspects

                        We are looking to add a Coordinator, Financial Operations to our Speaker Bureau Services – Post Meeting team. The Coordinator, Financial Operations will be responsible for efficiently managing various financial and operational aspects of the HWP Speaker Bureau and its clients.  Additionally, this position involves ensuring the accuracy and compliance of speaker program financials, processing expenses, and facilitating the financial closeout of speaker bureau programs.  

                        What You’ll Do 

                        The Coordinator, Financial Operations is accountable to the Director, Financial Operations, Vice President, Meeting Planning & Operations, Speaker Bureau Services, speakers, and clients and responsible for supporting the overall financial operations of the HWP speaker bureau and its clients. In addition, they will: 

                        • Review all elements of completed speaker programs to ensure accuracy according to client-specific business rules and compliance guidelines for financial closeout 
                        • Analyze receipts and meeting documentation to verify that speaker expense reimbursements meet compliance standards and are processed promptly 
                        • Comprehend and enforce HWP and client guidelines and business rules related to Speaker Bureau financial operations 
                        • Maintain professional and dignified communication with colleagues, speakers and clients addressing inquiries and concerns promptly 

                        What You’ll Have 

                        • 1-3 years of similar work experience 
                        • College degree with a focus on accounting, finance or business administration is a plus 
                        • Agency experience, particularly in Speaker Bureau is preferred

                          We are looking to add a Data Control Coordinator to our Speaker Bureau Services – Post Meeting team. The Data Control Coordinator will be responsible for the timely and accurate closeout of all speaker bureau programs in accordance with HWP and client requirements. Additionally, they will be accountable to the Vice President, Meeting Planning & Operations, Speaker Bureau Services. 

                          What You’ll Do 

                          • Collect all meeting documentation (program sign-in sheets, attestation, assessment forms) from client field representatives, assuring completeness and accuracy of information and conduct error-free data entry into the applicable data base 
                          • Communicate/follow-up with representatives as necessary for any issues related to program close-out and accuracy of attendee data, and escalate any situations accordingly to supervisor 
                          • QC scanned and saved files to assure naming is consistent with company requirements 
                          • Review attendee data checks in the logistics system to correct any inconsistencies 
                          • Work cohesively with meeting planning team on determining and correcting any inconsistencies in meal vs attendee count

                            We are looking to add an Account Director to our Account Services team.                                 We are looking to add an Associate Scientific/Medical Director to our dynamic Scientific & Medical Services Team. The Associate Scientific/Medical Director will work closely with clients, faculty, advisors and our internal account teams to plan, research and write a variety of high-quality scientific communications and educational assets.                                 What You’ll Do

                                • Serve as a subject matter expert within an assigned therapeutic area, including relevant basic science, mechanism of disease, therapeutic approaches, and competitive landscape. Ensure all work is scientifically accurate, and consistent with client strategy
                                • Plan, research and write high-quality, unbiased scientific abstracts, manuscripts, posters, slide presentations, and other content that supports the medical, commercial and/or HEOR teams at a range of pharma partners

                                What You’ll Have

                                • Advanced degree required (MD, PhD, MS, MPH, or PharmD)

                                  This is a growth position where you will develop knowledge of the pharmaceutical industry and the role of medical education within the industry.  You will have an opportunity to observe faculty and client interactions, research market dynamics, scientific advances, and new paradigms for assigned brands and study brand knowledge. 

                                  What You’ll Have 

                                  You will be successful if you are highly organized with keen oral and written communication skills and great attention to detail.  Strong interpersonal skills are a must along with proficiency in Microsoft® Office programs, internet skills, and a desire to learn medical terminology and pharmaceutical products.  

                                  Along with this, you will be able to commute to the Upper Saddle River, NJ office as this is a hybrid position.
